The Opportunity
Reporting to the Corporate Controller and working closely with the accounting team, the Accounting Clerk (Contract) will be responsible for performing Porte’s day-to-day accounting duties. This includes managing accounts payable, accounts receivable, payroll, and supporting financial reporting activities.

Job Responsibilities:

  • Performs accounts payable functions, including:
    • Setting up and recording all preauthorized payments for utilities and other major suppliers as required and on a timely basis;
    • Reviewing vendor statements for outstanding invoices for payment and performing reconciliations as necessary;
    • Attending to, and following up, and vendor queries;
    • Sending out invites and maintaining the Vendor Café module in Yardi. Report on statistics for Vendor Café.
    • Serving as backup to and assisting Accounts payable by entering invoices into software, ensuring details are recorded correctly
  • Performs accounts receivable functions, including:
    • Reviewing bank accounts daily and advising accountants of NSF and/or rejected payments;
    • Recording tenant deposits sent in by building managers in software.
    • Creating charges for tenant chargebacks and delivering invoices to tenants.
    • Depositing postdated cheques to bank electronically, recording same in software; filing soft copy on server
    • Depositing cheques to bank electronically, ie GST cheques, miscellaneous cheques; filing soft copy on server
  • Performs accounting and admin functions, including:
    • Preparing monthly and weekly bank reconciliations
    • Assist in the assembly of working papers for year-end packages for external accountants
    • Posting year-end journal entries prepared internally and externally and reconciling to statements and/or working papers
    • Preparing AR reports on a daily and weekly basis
    • Reconciling intercompany balances among the various properties
    • Recording of intercompany bank deposits.
    • Preparing payroll entries for review.
    • Preparing chargebacks to various properties for Porte maintenance staff from timesheets, for shared expense, inclusive of preparing invoice to third parties as required.
    • Downloading bank statements and compensation statements monthly and file onto the server.
    • Assists the Controller in accounting/admin/tasks duties as required.
    • Assists Accountants in inputting and creating budgets for Porte Realty Ltd. managed properties and other tasks as required
    • Keeps up to date with accounting changes and industry developments.

Job Requirements

  • Required training, experience, knowledge, skills and abilities.
  • At least 2 years experience in general bookkeeping/accounting.
  • Strong analytical skills
  • Familiarity with accounting software, preferably Yardi.
  • Experience working in a fast-paced environment.
  • Strong communication skills and the ability to work well individually and in teams.
